It supports right hand justification, text block movement, enhancements and margin settings. SELECTING A DOCUMENTS The screen will ask you for a document name on entry. The name "Letter" is suggested. You may type in any other name up to 8 characters long. A 3 letter dot extension (.xxx) is optional. If you are unsure as to what documents exist in your current directory, delete the "Letter" name so that the field is blank. If you then press RETURN various available documents without extensions will appear in a special menu. Simply select one using your ARROW keys and press RETURN. FUNCTION KEYS All available options are given at the bottom of the screen. Here is a summary of commands: F1 = Help............ Displays these help screens F2 = Print menu...... Here you specify whether you require mail-merge or a normal letter, single or double line spacing, pausing for new pages if you use single sheets, direct output to the printer, the screen or a disk file called "letter.prn" and set your printer's compatibility (select IBM if unsure). Use your ARROWS to select the combination of choices you require. F3 = Merge........... Pop-up menu for specifying mail merge fields. F4 = Enhancements.... This enables bold lettering, underlining, condensed and enlarged mode, depending on your printer type. F5 = Date............ This is an automatic date stamp function. F6 = Time............ Use this to stamp the current time. F7 = Margins......... Here you can specify exactly how you wish your document to be laid out. The letter width and length are calculated and displayed automatically. F8 = Blocks.......... Use this to move, copy or delete paragraphs of text. The handling of entire paragraphs rather than sentences or words is recommended. If unexpected results occur, save the document by exiting first and then continue. Shift F8 = Line Del.. Use it to delete a line of text, similar to CTRL - Y. F9 = Reformat........ Use this to tie your sentences back together after you have made deletions with BACKSPACE or the DELETE key. F10= Exit............ The pop-up menu allows you to save or abandon the changes you have made. If you do not with to exit after all, press ESC to continue editing. MOVING AROUND IN THE DOCUMENT The ARROWS, PGUP and PGDN are easiest to use. The following may further help to speed up editing: HOME = Beginning of current line END = End of current line CTRL - HOME = Beginning of current screen CTRL - END = End of current screen CTRL - PGUP = Beginning of document CTRL - PGDN = End of document CTRL - RIGHT ARROW = Move one word to the right CTRL - LEFT ARROW = Move one word to the left CTRL - Y = Delete the line, similar to Shift - F8 CTRL - T = Delete the word HOW TO PERFORM A MAIL-MERGE First of all, you have to place mail merge fields into your text. These are words which will automatically change from letter to letter. Simply use the F3 pop-up menu, select your requirements using the arrows and press RETURN. Then print your document. In the print menu from F2, you must specify the letter type as MAIL-MERGED. Press F10 and an additional selections menu will pop up. There you can specify exactly for whom you wish to produce letters. Within these selections, you may press F1 for a complete browsing list. This list shows details of the group of person you have selected in a pop-up window. This way you can change your selection until you are completely satisfied. When testing the mail-merge functions, it may be useful to print the results to the screen first to ensure you have the desired effect before committing your work to the printer. MAIL MERGE EXPORT If you do many mass mailings or marketing mail shots you might wish to use your favorite word processing package. For this purpose use the "S - Send details to external word processor" option under the word processor integrator menu. The export can be done in ASCII or SDF format. Most word processing packages with mail-merge features support these. You may, however, have to refer to your word processor's manual for detailed guidance on how to read the exported mail-merge file into your letters. HOW TO INTERRUPT PRINTING Printing may be interrupted at any time. To abort printing press the ESC key, repeatedly if necessary. To pause printing, press the CTRL and S keys together. Your printer may print a few more lines before pausing if it has an internal printer buffer. To resume printing after the pause, press CTRL and S once more.
